Such was the case for the managers of data center operation looking to replace ASG-Mobius. The large medical network completed the repository conversion itself in just 30 business days and emerged with all of its data in a more robust, flexible solution.

This medical network includes several community hospitals, academic medical centers and an array of specialty hospitals and outpatient programs. It had an expanding user base of more than 10,000 with more than 3,000 power users and a longstanding contract with Mobius Management Systems. Mobius, whose suite of ECM products included ViewDirect, InfoPAC, and Document Direct, was acquired in 2007 by Allen Systems Group.

Evaluation process led to clear direction

As the medical network’s Mobius contract neared renewal, it embarked on an extensive RFI process. Among the company’s priorities:

  • A distributed platform, in keeping with the company’s movement away from the mainframe
  • A single repository
  • Integration with its Oracle portal through J2E compliance
  • LDAP authentication.

The RFI went out to more than a dozen companies with the final decision coming down to sticking with Mobius or selecting Systemware, which involved an archive conversion. After speaking with several Systemware customers and hearing firsthand how seamless and transparent the conversion process is using Systemware’s proprietary Legacy Archive Processor (LAP), the choice was clear

“We also saw in Systemware the ability to grow our uses of the system,” said one data center manager. “We knew that we had to get to get off of Mobius and convert what we had Day 1. But we also wanted a system that didn’t lock us into the types of reports we could ingest and the types of reports we could distribute to our end users.”

Mobius to Systemware: The beginning of a strong partnership

The Systemware conversion team took the time to understand the customer’s environment and processes, including how documents were indexed and secured. Despite the size of the task, the change to Systemware was virtually transparent to end-users and required minimal training.

While the overall project time for the Mobius replacement was seven months, it took just 30 business days to move over the documents and definitions using the LAP. “The LAP conversion process was explained by the technical resources so that we were very comfortable with it,” said a data center manager, “and then it was delivered as it was told to us. It worked as it was presented to us.”

In the end, the Mobius conversion resulted in the migration of more than 70,000 LAP versions from the Mobius mainframe to Systemware Content Server on the distributed platform and more than 5,500 document definitions. One manager said, his natural concerns about support in an unfamiliar topography were short-lived. “The product is really stable. Our servers don’t crash. … If they do, we don’t have any loss of data.”

Results: Better, cheaper, faster

The managers of the data center termed the rollout “incredibly successful.” They were able to roll out a parallel, new UI to users. The user database and all the report access controls were in place. Said one: “It was really no fuss, no muss.” A Systemware trainer was on site to help familiarize end-users with the Systemware UI. But there was a need for only minimal education because the UI is very easy to navigate. The two companies continue work together well on additional coding and the occasional issues as they arise.

“Since Day 1, it’s been a partnership; and it’s continued to be a partnership,” said the data center manager. “Calls to the Support Center are answered quickly, by a live person. We get responses back in a timely manner in answer to our questions. … [Systemware’s] concern is to make sure that you’re working, not just that their product’s working.”
